WHEN YOU´RE HOSTING FROM ABROAD
Organising a retreat from another country brings questions a venue rarely answers.
Will my caterer understand my dietary brief? Will my materials arrive on time? Who do I call when the forecast turns? What if a participant needs something I didn’t anticipate? Who do I trust on the ground when I can’t be there yet?
Acepados is built around the answers to those questions.
We are a small, English-speaking team based on a private cortijo in Andalusia, designed to operate as part of your team — not as a hotel that hands you the keys.
You design the retreat. We make sure nothing falls through the cracks.
BUILT FOR MANY KINDS OF RETREAR
A versatile estate, for very different programmes.
Acepados adapts to many retreat formats, while keeping one philosophy throughout: exclusivity, privacy, and care for the detail.
Wellness & integral health retreats
Yoga, meditation or mindfulness
Corporate & leadership retreats
Creative, artistic or cultural retreats
Flamenco, dance, music or movement
Mentoring, training or strategy programmes
Executive team gatherings
Family or private group retreats with guided activities
Gastronomic, wine or slow-living experiences
We don’t impose a format. You design your programme — we provide the setting and the operational backbone.
WHAT GIVES YOU PEACE OF MIND
Not just a beautiful venue. A working operation behind it.
Most of the value of Acepados isn’t visible in the photos — it’s what happens behind them so that your retreat unfolds the way you imagined.
I
Exclusive private use
Only your group on the grounds, for the entire stay. No other guests, no shared facilities, no operational compromises with strangers next door.
II
A single English-speaking contact
María — host and co-owner — is your one person, on the ground, from your first call to the last goodbye. No call centres, no rotating account managers, no translation gaps.
III
A local network we vouch for
Pre-vetted caterers, drivers, transfer companies, dietary specialists, florists — even an English-speaking doctor if needed. People we have worked with, who deliver.
IV
A flexible kitchen approach
Bring your own chef, work with our network, or both. We translate your culinary brief into Spanish kitchens and coordinate the operational layer for you.
V
Connection without compromise
Satellite internet across the property — for hybrid sessions, video calls, time-zone coordination with your team back home. Disconnect by choice, not by force.
VI
A discreet operational presence
A small team that handles the invisible work — so your facilitators can keep their eyes on the participants, and you can keep your eyes on the programme.
“Designed by you. Delivered with us beside you.”
ACCOMMODATION – CHAPTER I
Room configurations designed for your pricing tiers.
For a retreat, room distribution isn’t just logistics — it’s part of your commercial model. Acepados offers four typologies, so you can structure different price levels according to the room assigned.
x5
ROOMS
— TYPOLOGY I
Double bedrooms with king-size bed
Five double bedrooms with a king-size bed, ideal for participants who want private accommodation, couples, premium clients or the lead facilitators of the retreat.
A natural fit for the more exclusive tier of your retreat — especially when the programme speaks to participants who value privacy and rest.
x1
ROOM
— TYPOLOGY II
Convertible double, two beds set close together
A double bedroom that can be set up with two beds almost side by side. Works well for two participants travelling together, friends or sisters who accept a closer sharing configuration.
An intermediate tier between the private room and the fully twin-bedded option — a way to add capacity without losing the standard of the main bedrooms.
x2
ROOMS
— TYPOLOGY III
Twin bedrooms with separated beds
Two rooms with two clearly separated beds, for participants who share but want independence. A natural fit for retreats with solo participants, programmes offering shared rooms, or groups of friends and colleagues.
Offers a shared option without compromising the perceived quality. Mid-tier pricing.
3+6
BEDS IN TWO ZONES
— TYPOLOGY IV
Flexible multi-bed room
A multi-bed configuration split into two independent zones: one with 3 beds, another able to take up to 6 additional beds. Especially useful for the organising team, assistant facilitators, support staff, younger participants or groups looking for a more accessible price point.
Also a way to free up the main bedrooms for premium guests, or to maximise capacity without external accommodation.
YOUR COMMERCIAL READING
Five pricing tiers, one estate.
The variety of rooms lets you design your own commercial model — adjusting the price to each participant profile and improving the margin of your programme.
Premium · individual
Double bedroom with king-size bed, single occupancy.
Premium · pair
Double bedroom with king-size bed, two guests.
Comfort shared
Twin room with separated beds.
Flexible shared
Convertible double with two beds close together.
Team · base rate
Flexible multi-bed room.
INDOOR SPACES
Rooms to gather, work, teach — or simply be.
Distinct indoor settings for group sessions, meetings, workshops, private conversations or quiet moments.
Main salon — the central daytime space. Meeting room — for working sessions, training or corporate formats. Multi-purpose rooms — meditation, gentle bodywork, writing, group dynamics. Central courtyard — breaks, coffee, transitions.
OUTDOOR SPACES
Private nature to breathe, walk, and build a memorable experience.
Your group can run the retreat without external noise, without interruptions, and without sharing the grounds with anyone else.
Outdoor sessions · mindful walks · meditation in nature · gentle bodywork · reading and writing · outdoor lunches and dinners · poolside rest · informal conversations in the gardens.
KITCHEN, CATERING & FOOD
The freedom to run the food model that fits your retreat.
Every organiser has a different vision. We offer flexibility — and translate the operational layer for you.
— OPTION I
Bring your own chef
Especially useful when the retreat follows a specific food approach: vegetarian, vegan, ayurvedic, detox, Mediterranean, functional or fully personalised. You bring the brief; we provide the kitchen.
— OPTION II
Work with a catering company
We coordinate with them on accesses, timings, set-up, service requirements and post-event cleaning — so you don’t have to chase the operational layer from another country.
— OPTION III
Pre-vetted local providers
When needed, we put you in touch with chefs, caterers and food professionals in the region who fit the kind of experience you are designing — translating your brief into Spanish kitchens that get it right.
— OPTION IV
All meals served on the estate
Breakfasts, lunches, dinners, coffee breaks or full gastronomic experiences — all hosted within the cortijo. No transfers, no logistical breaks, no rhythm interruptions.
YOUR SAFETY NET
When you arrive in Spain, you arrive to something already prepared.
The three pieces that make hosting a retreat from abroad genuinely easier — and quieter — than it usually is.
— YOUR POINT OF CONTACT
María, on the ground
One person. English-speaking. Knows the cortijo, the region, the suppliers, the rhythm of a retreat. From your first enquiry through the months of preparation and into the day-to-day on site, you’ll always know exactly who to call — and they’ll already know your retreat.
No call centres. No rotating account managers. No translation gaps.
— WHAT WE LINE UP FOR YOU
A local network you can lean on
Pre-vetted local suppliers — caterers, drivers, transfer companies, florists, sound, dietary specialists — and the practical things organisers worry about from abroad: an English-speaking doctor we can call if needed, a local pharmacy, last-minute printing, additional accommodation, practical errands.
We introduce only people who deliver. No commissions, no obligations.
— COORDINATING FROM ANYWHERE
The infrastructure for distance
Satellite internet across the property for hybrid sessions, video calls or time-zone coordination with your team back home. Pre-arrival shipment reception: send your materials, books, equipment ahead of time and we’ll have them ready on arrival. WhatsApp coordination before and during your stay.
Disconnect by choice, not by force.
HOW A RETREAT CAN UNFOLD
A three-night example.
Every retreat has its own design. What follows isn’t a script — it’s one possible shape, that adapts to shorter formats, intensive programmes or longer stays.
HOW WE WORK TOGETHER
You bring your method. We provide the place — and operate behind it.
What you bring
Acepados doesn’t replace your identity as an organiser. Many of you already have a method, a community, facilitators and trusted providers.
Facilitators, teachers, coaches or therapists.
Chefs, caterers or food specialists.
Photographers, videographers or production team.
Your own materials, decoration or styling.
Music, sound or specific technical elements.
What Acepados handles for you
Beyond the use of the cortijo and grounds, we help you reach a clear picture of what you need — before you confirm the retreat.
Recommended spaces for each activity.
Room distribution and group organisation.
Local supplier introductions and translation of briefs.
Pre-arrival site visits and common-area set-up.
Arrival and departure coordination.
Coordination with external catering or kitchen teams.
Basic technical-needs check before arrival.
PRICING – ACCOMMODATION + RETREAT FEE
Why a retreat fee, and what it covers.
At Acepados we draw a clear line between a private stay and the organisation of a professional retreat. A retreat involves wider, more organised use of the estate: preparing rooms, coordinating schedules, receiving participants, managing suppliers, organising meals, adapting indoor and outdoor zones, supporting external teams and making sure the experience runs end to end.
For that reason, every retreat carries a retreat fee, additional to the accommodation, defined according to the type of experience, the duration, the number of participants, the level of use of the spaces and the operational needs.
The fee isn’t there to mark up the stay. It’s there to guarantee that the retreat runs with order, quality and operational safety — especially when you are organising from another country.
How it is calculated — case by case
An intimate wellness retreat with a few sessions a day does not require the same preparation as a corporate programme with workshops, external catering and intensive schedules.
NO. OF PARTICIPANTS
A bigger group means more coordination and more use of the spaces.
DURATION
More days mean more operational oversight.
TYPE OF ACTIVITIES
A quiet stay vs. a programme with constant workshops and practices.
USE OF SPACES
Some activities require preparation, set-up or supervision.
CATERING / EXTERNAL KITCHEN
Access coordination, schedules, cleaning and use of facilities.
EXTERNAL TEAM
May imply more logistical needs.
LEVEL OF ON-SITE SUPPORT
Some retreats want more presence, others less.
SPECIAL SET-UPS
Decoration, materials, sound, additional equipment.
HOW WE START
From first call to first farewell.
A simple, professional process in six steps — so you never wonder what comes next.
1.
First conversation
We understand the kind of retreat, participant numbers, dates, duration, accommodation needs, food approach and your expectations.
2.
Initial proposal
We prepare an indicative proposal with accommodation, available spaces, possible services and practical recommendations.
3.
Operational review
If the project moves forward, we go through room distribution, room use, meals, suppliers, schedules and technical needs in detail.
4.
Booking confirmation
Once the terms are agreed, we formalise the reservation with a clear payment schedule and conditions.
5.
Preparation
We coordinate the run-up with you: participants, team, catering, accesses, set-ups, timings, and any special requirements.
6.
The retreat
During the stay, the Acepados team supports the experience discreetly — so it unfolds the way you imagined, with us beside you, not in your way.
“Acepados is not a place to fill a calendar. It is a place to host an experience worth remembering.”
LET´S PLAN YOUR NEXT RETREAT TOGETHER
A private estate, a beautiful one — and a real team behind it.
If you are designing a retreat and looking for a private, exclusive and flexible space in southern Spain, we would be glad to study with you how it could work at Acepados.
Tell us the kind of retreat you have in mind, the dates you’re considering, the size of the group and the things that matter most for the experience to feel right. From there, we’ll prepare a first proposal tailored to your format.
